Swim School Terms and Conditions

Please read this carefully to ensure that, as a Northern Arena Swim School Member you understand how things work. Set out below are the terms and conditions, including your rights and obligations, of you and as a parent or guardian with Northern Arena. Please read them carefully. 

 

Perpetual Booking and Payments 

Once you are booked in: 

  • Your booking will not end until you notify us in writing of cancellation. 

  • Your time and space are secured until you move up a level. 

  • All Northern Arena swim classes run continuously throughout the year (Excluding Christmas & New Year. Please note your booking will roll over and continue in January unless you notify us otherwise). 

  • Payments are always 1 month in advance. 

  • Payments are debited on the 22nd of every month. 

  • The amount debited may change from month-to-month based on how many lessons you have in the payment period (typically 4 or 5 lessons). 

  • In the event of a failed direct debit payment due to reasons beyond our control, such as insufficient funds, declined, expired credit card details or invalid payment information we will implement a nominal failed payment fee of $10. Please be assured that in the event of a failed payment, we will notify you promptly and make a subsequent attempt before applying the fee. If payment is not made, this could result in your lessons being cancelled effective immediately. Northern Arena may engage a debt collection service to recover monies if debt remains outstanding. 

 

Makeup Lessons: 

If you are unable to attend a lesson you must log in to your online app and mark yourself/child/children as absent no less than 1 hour before the lesson commences to receive a makeup token. 

  • Absences can only be marked 7 days in advance. 

  • Makeup tokens can only be used after the class you have marked absent from has been missed. 

  • Your makeup token will have no expiry. 

  • Makeup lessons are subject to availability. 

  • Makeup lessons can only be booked up to 3 days in advance. 

  • Makeup lessons are not available for Manuka Doctor sponsored Water Babies. 

  • Refunds or credits are not provided as an alternative. 

  • Make up lessons are not transferable to other students. 

  • Please be aware that students must have an ACTIVE BOOKING to redeem make up tokens. 

  • Due to Make Up Tokens having no expiry, these will remain on your swim account should you cancel, however can only be used whilst you have an active booking. 

  • In the unlikely event of lessons being cancelled due to something out of our control, customer’s swim accounts will be issued with a makeup token.  Refunds or Credits will not be given. 

Lesson Cancellation:  

To request cancellation of lessons you must notify us in writing via email to reception@northernarena.co.nz, or via your Online App before the 15th of the month to avoid another charge in the next pay period. 

Northern Arena will confirm your cancellation has been processed via email confirmation, if you do not receive a confirmation email, please contact us directly on (09) 421 9700 

 

Refunds due to Cancelling:  

No refunds will be given on payments already made. If your cancellation is due to a medical reason, exemption requests to this policy must be made in writing and further information may be required.  Appeals will be considered on a case-by-case basis Please note: We may require a medical certificate.  

 

Policy Updates 

Please note that from time to time these policies may need updating, in which case you will be notified via email to resign and accept the updated policy. 

Family Swim:  

Swim caps must also be worn by all participants and care givers 3 years and over. 

Accurate Information:  

Please login online via your APP if any of your details change such as postal address, email address, phone numbers and bank or credit card details.

 

Private Swim Lessons:  

  • Private Swim Lessons require 4 hours' notice of cancelation to notify the instructor. This can be done by calling reception or email reception@northernarena.co.nz. (Online withdrawal cannot be accepted at this time).  

  • Bookings must be paid in full, in advance, either by credit on account or online payment.

  • All private classes are confirmed via a confirmation email sent by Northern Arena. 

 

Holiday Programme Terms and Conditions 

  • The Intensive Learn to Swim Holiday Programme is non-refundable. 

  • If you wish to cancel your holiday programme booking you MUST do this 24hrs before your 1st lesson commences. A credit will be applied to your swim account for future use towards regular weekly lessons or another Holiday Programme. 

  • No credit or refunds can be given once the intensive week you have booked has started. 

  • Unfortunately, we are unable to offer make ups for missed holiday program lessons. 

  • Spaces are limited and subject to availability.  

  • Holiday Programme Swimming Lessons run between the hours of 9am-12pm. 

  • It may not always be possible to have the same teacher for the duration of your holiday programme booking. 

  • If your child moves up a level during the week, they will finish the week off in the current level. The move up will be actioned for your regular on-going lessons or in the next booked holiday programme. 

  • You must abide by the House rules and swimming terms and conditions. 

  • The holiday Programme is for aged 3+. 60-minute squads are not included. Not valid with any other offers or promotions. Not exchangeable for cash or transferable.   

  • Only available at Northern Arena, 8 Polarity Rise, Silverdale, Auckland, New Zealand.  

Manuka Doctor Under 6 Month Terms and Conditions

  • Limited spaces are available and are subject to availability.

  • Only baby's aged 2-6 months are eligible for 1 sponsored quarter of Baby & Co. swimming lessons at Northern Arena, Silverdale.

  • Your baby must be under 6 months of age at the time of the first lesson to qualify, age verification may be requested.

  • The number of sponsored lessons is determined by the week you start.

  • Sponsored lessons do not roll over into a new quarter. Quarter lengths vary with school term dates.

  • You can receive only 1 term of sponsored lessons.

  • Lessons cannot be booked after week 4 of a quarter (term).

  • You must advise us if you cannot attend any class.

  • Northern Arena retains the right to reject entry for reasons deemed necessary.

  • You must abide by all other swim school terms and conditions.

  • Makeups are not available for sickness, injury or forced closures outside of our control during your sponsored period.

  • The promoter is Northern Arena in conjunction with Manuka Doctor. Manuka Doctor has no responsibility for the general running of baby lessons.

  • Not valid with any other offers or promotions.

  • Not exchangeable for cash or transferable.

  • Your information will be collected for administration purposes and added to our database where from time to time we will send you information and promotions by Northern Arena. You will have the opportunity to unsubscribe from this service via an unsubscribe link.
