Conditions

1. BOOKINGS & PAYMENT

1.1 Programme Booking - Booking into Northern Arena Kids Club secures your child’s place for the selected day(s) and session times booked. All bookings must be paid in full at the time of booking unless otherwise agreed by management.

 

1.2 Attendance - Parents/caregivers are responsible for ensuring children attend booked sessions. No refunds or discounts will be provided for non-attendance unless outlined in Section 2.

 

1.3 Session Options - Northern Arena Kids Club may offer: Half Day Sessions & Full Day Sessions, Individual day bookings, Multi-day bookings. Programme structures, activities, and schedules may vary depending on staffing, weather, facility availability, and age groups. Children attending Northern Arena Kids Club must be between 5 and 12 years of age at the time of attendance unless otherwise approved by management. 

 

1.4 Late Payments Northern Arena reserves the right to cancel or suspend bookings where payments remain outstanding. 

 

1.5 Drop-Off & Pick-Up Times Children must only be dropped off and collected during programme operating hours. Additional charges may apply for late pick-ups: $20 per 15 minutes or part thereof. Repeated late pick-ups may result in removal from the programme. 

 

1.6 Behaviour & Participation Northern Arena reserves the right to suspend, withdraw, or require collection of a child from the programme if behaviour: Places themselves or others at risk, Is consistently disruptive, involves bullying, aggression, or unsafe conduct or prevents staff from safely operating activities. No refunds will be issued if a child is removed due to behaviour concerns. 

 

1.7 Programme Changes Northern Arena reserves the right to modify: Activities, Timetables, Coaches/instructors, Groupings, and/or Session formats. This may occur due to operational requirements, weather, staffing, or safety reasons. 

 

2. CANCELLATIONS, REFUNDS & CREDITS

 

2.1 Child Absence No refunds or credits will be provided for missed sessions due to illness, holidays, or non-attendance unless otherwise outlined below.

 

2.2 Cancellation by Parent/Caregiver

If a booking is cancelled:

  • Before the first day of the booked programme week → an account credit will be applied.

  • After the programme week has commenced, with more than 24 hours’ notice before the booked session → an account credit will be applied.

  • Less than 24 hours before the booked session → no refund or credit applies.

Any credits, exceptions, or booking adjustments are provided solely at Northern Arena’s discretion and all decisions are final.


2.3 Cancellation by Northern Arena

If Northern Arena cancels a session and no suitable alternative is available, a credit or refund will be provided.

 

2.4 Credits

Any credits issued:

  • Must be used within 12 months

  • Are non-transferable

  • Cannot be exchanged for cash

  • Expired credits will not be reinstated.

 

3. HEALTH & SAFETY

 

3.1 Medical Information Parents/caregivers must disclose any: Medical conditions, Behavioural concerns, Allergies, Additional learning or support needs, and/or Medication requirements. This information must be provided during booking and kept up to date.

 

3.2 Illness Children who are unwell must not attend the programme. If a child becomes unwell during the day, parents/caregivers may be contacted and required to arrange prompt collection. 

 

3.3 Injuries & Emergencies In the event of illness, injury, or emergency, Northern Arena staff may: Administer first aid, Contact emergency services, and/or Seek medical treatment where required. Parents/caregivers authorise staff to take reasonable action in emergency situations if contact cannot immediately be made. Parents/caregivers must ensure emergency contact numbers remain current and that a 
nominated contact person is available during programme hours. 

 

3.4 Medication Medication will only be administered: With written parental consent, In original labelled packaging, Following completion of required medication forms. 

 

3.5 Supervision Children attending the programme should be toilet trained and capable of managing basic personal care independently unless otherwise agreed with management. Children are supervised only during official programme hours. Northern Arena is not responsible for children: Before sign-in, After sign-out, Outside programme operating hours. 

 

3.6 Swimming Activities All swimming activities are supervised by qualified staff. Parents acknowledge that aquatic and sporting activities carry inherent risks despite all reasonable safety precautions being taken. Parents/caregivers acknowledge that participation in recreational, sporting, aquatic, and physical activities involves inherent risks of injury. While Northern Arena takes all reasonable precautions to provide a safe environment, participation is at the parent/caregiver’s own risk except where liability cannot legally be excluded under New Zealand law. 

 

4. PHOTOGRAPHY & MEDIA CONSENT

 

4.1 Photos & Videos Northern Arena may take photographs or videos during Kids Club sessions for: Marketing, Social media, Website content, Promotional material, and/or Staff training. By enrolling, parents/caregivers consent to the use of images unless written notice is provided requesting exclusion. Requests for exclusion from photography must be submitted in writing prior to attendance. 

 

5. PERSONAL BELONGINGS Parents/caregivers are responsible for advising Northern Arena of any food allergies or dietary requirements. While reasonable precautions are taken, Northern Arena cannot guarantee allergen-free environments. Children are responsible for their own belongings. Northern Arena is not responsible for lost, stolen, or damaged items including: Clothing, Electronics, Towels, Swimwear, and/or Personal toys. We recommend valuables remain at home. 

 

6. PRIVACY Personal information collected during enrolment will be used for: Programme administration, Health and safety, Communication, Emergency contact purposes. Information is managed in accordance with New Zealand privacy legislation. 

 

7. GENERAL

 

7.1 Participation Consent By enrolling, parents/caregivers consent to their child participating in all programmed activities reasonably appropriate to their age and ability group. 

 

7.2 Programme Activities Northern Arena is not liable for cancellations, closures, or programme modifications caused by events outside its reasonable control, including but not limited to severe weather, public health events, facility issues, staffing shortages, or government restrictions. Activities may include: Swimming lessons, Supervised recreational swimming, Sports sessions, Gym or studio-based activities, Group games, and/or Physical education activities.
